Challenge

Challenge Our client provides non-dilutive venture debt to high-growth technology startups. As the business scaled from short-term lending into long-term venture debt partnership, the operational model it had grown on - spreadsheets, disconnected SaaS tools, manual process - became a hard constraint on growth. Their deal lifecycle is more complex than a standard SME lender's. Applications require synthesis of recurring revenue data, burn rate, runway, cohort analysis, and founder context. Repayment structures are bespoke - milestone-linked drawdowns, revenue-based covenants, flexible schedules. Portfolio monitoring means tracking covenant compliance across live deals with different structures, different obligations, and different reporting cadences. None of that maps cleanly onto off-the-shelf lending software designed for standardised loan products. The result was a deal operation where every step required manual effort. Application data arrived by email and PDF. Credit analysts built assessment models in spreadsheets updated by hand whenever new financials came in. Portfolio monitoring meant reviewing a master spreadsheet periodically and hoping nothing had been missed. As deal volume grew, operational overhead grew with it - the business was scaling headcount with revenue instead of building the leverage technology should provide.

Approach

Approach We began with a discovery phase mapping every step of the deal lifecycle, from first founder contact through application, credit assessment, term sheet, drawdown, and ongoing covenant monitoring. Every manual step was documented, every tool in the stack catalogued. The goal was a clear picture of where operational friction was highest and where technology could remove it without building complexity a small team could not maintain. The build-versus-buy decision was deliberate. We evaluated several off-the-shelf lending platforms and loan origination systems. All required significant configuration to accommodate bespoke deal structures - milestone-linked drawdowns and revenue-based covenants are not standard features of SME lending software. The configuration cost and ongoing vendor dependency would have produced a worse outcome at higher cost than a purpose-built system. We built. The stack decision prioritised maintainability over novelty: Next.js for the founder-facing portal, a Node.js API layer, PostgreSQL for structured financial data. A small, senior team can own and extend that without specialist knowledge. The workflow engine for credit assessment stages was custom - the state machine for a venture debt deal is specific enough that a generic workflow tool would have needed as much configuration as building it properly.

Solution

Solution We designed and built the complete lending platform: Founder application portal - a web application where founders submit applications, connect financial data sources, upload supporting documents, and track deal status in real time. Designed for the specific context of a founder mid-fundraise evaluating several options at once: fast onboarding, low friction, mobile-friendly, clear progress indicators. The flow captures the structured data the credit team needs without feeling like a bank form. Credit assessment workflow engine - an internal deal management system routing applications through defined assessment stages, assigning tasks to analysts, surfacing the relevant data at each stage, and maintaining a complete audit trail. Revenue trends, burn rate, runway, and cohort metrics are ingested from connected sources and shown in context alongside the application. Analysts work from one system rather than copying numbers between spreadsheets. Bespoke deal structure builder - a tool for structuring non-standard terms: milestone-linked drawdown schedules, revenue-based repayment covenants, flexible term structures. Terms configured in the system become the source of truth for all downstream monitoring, with no manual translation from term sheet to spreadsheet. Covenant monitoring and portfolio dashboard - post-drawdown, the platform tracks covenant compliance, payment schedules, and milestone conditions for every live deal. Automated alerts surface deals approaching covenant thresholds before breach, and the dashboard gives real-time visibility across all live positions without manual reconciliation. Automated reporting - portfolio-level reports for internal review and investor reporting, generated on demand from structured platform data. Reports that previously took hours of spreadsheet work now take seconds.

Results

Results The business moved from a manual, spreadsheet-driven operation to a structured lending platform. Deal processing time fell as analysts stopped context-switching between disconnected tools. The founder portal improved the application experience - in a market where founders are weighing several funding sources at once, a clean digital experience is itself a signal about the partner. Covenant monitoring moved portfolio oversight from reactive to proactive. Deal volume can now grow without operational headcount growing proportionally, which is the fundamental leverage a lending platform should provide. What this engagement demonstrates: when a business runs on genuinely bespoke logic, we will say so and build the system rather than bend the operation to fit configurable software - and build it on a stack a small internal team can keep.
